Create and Curate Transaction Files
Organization is key in this business. Whether you use a transaction coordinator or not, you HAVE to be organized in real estate! One of the skills and tasks that we take pride in is being highly organized. We create and curate transaction files so you can review, download, share and access with ease. This includes keeping all files up to date at all times.
Scheduling, Coordinating & Confirming
From inspections, coordinating walkthroughs and confirming appointments, we handle all scheduling and confirmations. We take care of the transaction calendar from the beginning including opening escrow and scheduling closing date/time, confirming the receipt of due diligence and EMD within the regulated timeframe, ensuring all inspections and repairs/requests are completed prior to the last day of the due diligence period, confirming the ordering date of title searches and appraisals, confirming HOA documents are obtained in a timely manner, ensuring the proper documents are sent to the correct parties within the regulated timeline(s) (incl. Form 770, Closing Disclosures, etc.), and setting deadlines for all other important dates during the transaction.
Paperwork, Paperwork, Paperwork!
One of the most tedious tasks an agent has is paperwork. We draft documents to be signed by the parties involved, organize all documents into their appropriate files, review for compliance and ensure all signatures that are needed are captured and corrections are made, if applicable.
Manage Deadlines & Important Dates
Arguably one of the most important things that we do during a transaction is manage deadlines and make sure that everything is on track for closing! This includes confirming the receipt of due diligence and earnest money deposits, sending reminders to all parties regarding important deadlines (such as the end of due diligence periods/contingencies), and coordinating all time of essence activities.
Coordinate with All Parties
While we work for you as our partnered client, we coordinate with all parties of a transaction regarding title, escrow, financing/mortgage, appraisals, inspections, contractors, etc. With our H&C Transaction Tasks Checklist, we never miss a point of contact in any transaction.
Compliance
We have licensed coordinators to ensure compliance with all contracts throughout the transaction. CEO and Founder, Bailee Richards, is a licensed Realtor® in North Carolina. All documents, contracts and forms are reviewed for compliance prior to submitting and filing.
Client Communications & Virtual Assistance
When your business is growing, it becomes more difficult to keep track of all of your previous (and sometimes even current!) clients. We offer assistance services that streamline client communications including following up with leads, staying in touch with previous clients, and making sure your current clients are well taken of throughout their transaction.

Absolutely. We take confidentiality and compliance very seriously. All file and communications are handled through secure platforms and stored according to industry best practices.

Yes. You can cancel anytime through your account dashboard. If you’ve prepaid for a discounted annual plan, you’ll retain access through the end of your billing cycle.

We charge $30 p/hour for virtual assistant tasks and $45 p/hour for in-person tasks (sign placement, popby creation, gift drop-offs etc.).
